Three things you need to know

Small firms are getting more out of AI than big ones

OpenAI published research this week analysing over 800,000 work-related conversations. The finding: people aren’t just doing their own job faster, they’re doing work that used to belong to someone else. Strip out generic tasks like writing emails, and 43.5% of specialist requests were for work outside the person’s own occupation — an owner reviewing a contract, a salesperson interrogating a customer dataset that would once have gone to an analyst, a marketer fixing a website without waiting on a developer.

The part that matters to you: the effect is strongest in small teams. In workspaces of two to five people it ran at 18.9%, against 16.3% in organisations over a hundred. The researchers put it down to something simple — in a small business, the person closest to the problem just deals with it rather than handing it off.

Why it matters: this is the advantage you have over the big firm down the road, and it’s now measurable. They have departments and handover processes. You have people who can do the work of three specialists before lunch. Worth noting OpenAI are careful to say the study measures what people ask for, not productivity or hiring.

Old kit, new tricks

An American agri-tech firm, Sabanto, has built retrofit rigs that turn existing tractors into self-driving ones — mowing, seeding and weeding under supervision, without farmers buying new machinery. The kits fit most existing models. The founder grew up on a farm and built it around the labour shortage rather than around the technology.

Why it matters: the principle travels a long way past farming. The instinct with AI is that you’ll need to replace your systems, retrain everyone and start again. Usually you don’t. The cheapest wins come from putting intelligence on top of what you already own.

AI can now plug straight into the software you already run

The plumbing that lets AI connect to business systems got a significant upgrade this week, and Claude’s connector directory now lists over 950 apps — accounting, CRM, email, file storage, project tools. Downloads of the underlying standard have quadrupled this year. In practice it means asking questions across your actual systems, rather than exporting spreadsheets and re-typing between them.

Why it matters: the interesting question has moved on from “can AI write me an email” to “can AI see what’s actually happening in my business.” If your systems don’t talk to each other today, that gap is now the expensive part — not the AI.

Stop explaining your business from scratch every time

Set up a Project in Claude and upload the things you’d otherwise re-explain — your price list, service descriptions, a few past quotes, notes on how you like to sound. Everything you ask inside that project already knows the context, so you skip the first three paragraphs of every prompt.

Turn the document you’re avoiding into something you’ll actually get through

The Claude guide

Stop searching your inbox. Start asking it questions.

Connect Claude to Microsoft 365 and it can read your email, calendar, OneDrive and SharePoint on demand. Instead of digging for that thread from March, you ask, and it goes and looks.

Step 1 Check you qualify. You need a work Microsoft 365 account — a personal @outlook.com, @hotmail.com or @live.com address won’t connect. The connector itself is on every Claude plan, including free.

Step 2 In Claude, go to Settings → Connectors, find Microsoft 365 and press Connect. Sign in with your work account.

Step 3 Your Microsoft admin grants consent. It’s a one-time approval for the whole organisation, so if that isn’t you, this is the bit to forward on.

Step 4 Ask it something. “Summarise everything unread this week and flag what’s actually urgent.” “What did we agree with that supplier back in March?” “What’s on tomorrow, and draft me an agenda for the two o’clock.”

If your admin also enables write access, it can act rather than just read — drafting and sending mail, filing things into folders, setting your out-of-office, putting things in the diary.

Worth knowing

Permissions are delegated, so Claude only ever sees what your own login already lets you see. It reads on demand inside a conversation rather than scanning your mailbox in the background. Two current limits: it can’t attach files to drafts it creates, and it can’t send Teams messages.
